Recognise the problem

When the work is yours, the paperwork comes with it

Winning clients and delivering good work take enough energy. Finding time to organise receipts, interpret HMRC letters and work out your next tax payment can feel like another job.

We help you turn those loose ends into a manageable routine.

Unsure how much money is really yours to spend?

We explain your tax position and help you plan what to set aside, taking account of your income and any payments on account.

Not certain which expenses belong in your accounts?

We review your business costs, explain the rules and help you keep the evidence behind your claims.

Leaving your records until the deadline gets close?

We agree what information you need to send and when, so the work can be prepared with time for questions and your approval.

Who the service suits

Accounting that fits the way you freelance

A designer juggling project fees has different questions from a consultant on a long contract or a photographer investing in equipment.

We start by understanding how you earn, how you get paid and what support you need.

Creative freelancers

Designers, writers, photographers, videographers and other creatives managing client projects, equipment costs and business subscriptions.

Digital and technical specialists

Developers, marketers and digital professionals working with several clients, online platforms or recurring retainers.

Independent consultants

Advisers and specialists who want help with records, tax planning and the practical differences between operating as a sole trader or a limited company.

Part-time and first-time freelancers

People taking their first paid projects or combining freelance income with a job who want to understand their reporting responsibilities.

Freelancer sorting paperwork

Tell us about your work and we will recommend the accounting support that fits it.

Services

How our accountants for freelancers can help

Your quote will confirm the work included in your service. Depending on your business and the support you choose, we can help with the following.

Self Assessment prepared and explained

We prepare your personal tax return from the information you provide, review the relevant income and expenses, and explain the calculation before you approve it for submission.

Bookkeeping that keeps your records usable

Get help establishing a routine for invoices, receipts and bank transactions. If you would like us to handle the bookkeeping, we will include that work in your quote.

Business expenses reviewed properly

Understand which costs may qualify, how to deal with mixed personal and business use, and what records support the claim.

Tax payments planned ahead

We explain payment dates and payments on account, helping you budget with a clearer picture of what is due.

VAT and digital reporting where required

We can help you assess your VAT position and MTD requirements, then agree the registration, software and filing support you need.

Support for freelancers with a limited company

If you invoice through your own company, we can discuss company accounts, Corporation Tax and director-related support as part of the right service package.

Fees

Clear accounting fees before you commit

You should know what your accountant will handle and what it will cost before you decide.

We provide a fixed-fee quote based on how you trade, the condition of your records and the services you need. Your quote will explain the work covered, the payment arrangement and any additional charges that could apply.

For example, a sole trader with organised records and one tax return will need different support from a VAT-registered freelancer with a limited company and ongoing bookkeeping.

Your quote will make clear:

Tell us a little about your freelance business and we will explain the options in plain English.

Expenses

Know which freelance expenses you can claim

Software, equipment and the cost of running a workspace can add up. Getting the treatment right means checking the business purpose and keeping suitable records.
For sole traders, potentially allowable costs include the following, subject to the relevant rules.

Potentially allowable freelance expenses for sole traders and what we check before a claim.
Expense categoryWhat we check
Software and subscriptions Whether the software or subscription supports your business, and how the cost should be treated.
Phone and broadband The business-use proportion of your bills, excluding any personal use.
Working from home A reasonable share of eligible household costs, or simplified expenses if you qualify.
Equipment Business use and whether your accounting method calls for an expense claim or capital allowances.
Business travel Whether the journey qualifies under the travel rules, excluding ordinary commuting and private travel.
Marketing and professional costs Business purpose and any exclusions, including client entertainment and personal tax-return preparation.
Freelancer photographing a business receipt with a smartphone.

We help you distinguish business expenses from personal spending. You cannot claim actual expenses as well as the trading allowance against the same income. Limited company expense treatment is considered separately. HMRC guidance on self-employed expenses.

Tax budgeting

Make your next tax payment easier to plan for

A busy month can make your bank balance look healthy without showing the tax you still need to pay. We help you understand the difference and plan your cash flow around payment dates.
Payments on account are advance instalments towards the following year’s bill. They normally apply unless your previous year’s tax liability was below £1,000 or more than 80% was paid outside Self Assessment.

A simple example

If your first bill subject to payments on account is £2,400, with no earlier advance payments, you could need £3,600 by 31 January: £2,400 for that bill plus a £1,200 advance instalment. Another £1,200 would normally follow by 31 July.
The advance instalments count towards the next bill. This example illustrates timing; your own calculation may differ.

We explain what applies to you and can discuss whether a reduction is appropriate if your expected liability falls. Reducing payments too far can result in interest. HMRC guidance on payments on account.

Making Tax Digital

Making Tax Digital for freelancers explained

Making Tax Digital for Income Tax is already being introduced for sole traders and landlords. Whether you need to use it depends on your qualifying income, eligibility and any exemptions.

Making Tax Digital for Income Tax: qualifying income thresholds and start dates for eligible sole traders and landlords.
Relevant tax return Qualifying income Start date
2024/25 More than £50,000
2025/26 More than £30,000
2026/27 More than £20,000

Qualifying income generally means your total income from self-employment and property before expenses. These thresholds apply to eligible sole traders and landlords, subject to exemptions.

Qualifying income means combined gross income from self-employment and property, before expenses. Salary and dividends are not included in this measure.

Where MTD applies, you use compatible software to keep digital records, send quarterly updates and submit your annual tax return. The updates are summaries, not four extra tax returns. MTD for Income Tax does not apply to a limited company’s Corporation Tax reporting.

We can help you check your start date and agree the record-keeping, software and submission support you need. HMRC’s MTD for Income Tax guide.

Switching

Ready for a different experience with your accountant?

Experience a True Partnership—Where You Come First, Always

You may already have an accountant but want clearer explanations, a more organised process or a better understanding of the fee.

We begin by reviewing your situation and the deadlines ahead. With your permission, we contact your previous accountant for the information needed to arrange the handover.

We then agree which work Swift will take responsibility for and from what date, so you know where things stand.

Our standard switching process is free. If earlier returns, missing records or overdue work need attention, we will explain any separate fee before you commit.

Questions about accounting for freelancers

Sole traders can manage their own records and Self Assessment. An accountant can help when you want time back, a second pair of eyes or support with more complicated income and reporting. You remain responsible for providing accurate information and meeting your obligations.

The fee depends on your business structure, records and required services. Swift provides a fixed-fee quote so you can see the scope and cost before joining. Tell us whether you need a tax return, ongoing bookkeeping, VAT support or company accounting.

Yes. Let us know about your employment and freelance income so we can review the overall position. Paying tax through your salary does not automatically remove the need to report freelance earnings.

That depends on your profits, responsibilities, commercial needs and circumstances. A limited company brings additional administration and is not automatically the cheaper option. We can help you compare the practical and tax implications.

For the 2025/26 tax year, the usual online filing and balancing-payment deadline is 31 January 2027. If you need to notify HMRC that you must file, the usual notification deadline is 5 October 2026. Payments on account can also fall due in January and July. HMRC-issued notices or particular circumstances can affect filing dates. See HMRC’s deadline guidance.

Tell us what you use. We work with Xero, QuickBooks and FreeAgent and can discuss your current setup. We will confirm compatibility, any changes needed for your service or MTD, and whether software charges are included in the quote.

Tell us where your clients are based, what you supply and how you receive payment. Overseas transactions can raise currency and VAT questions, so we will confirm the support required before agreeing the work.

Contact us with the relevant dates and a summary of what is outstanding. We will assess the work, explain the fee and agree realistic next steps. Existing penalties or interest are considered separately and cannot be assumed to disappear.

We can discuss tax calculations, SA302 documents and tax year overviews where relevant. The documents you need depend on the lender, and providing them does not guarantee a mortgage decision.

For the People. For Your Dreams. For Your Future.
